Tuscany Retreat Terms and Conditions

Sunbeam Hollow Sanctuary

These terms explain your booking, cancellation options, and responsibilities for the Tuscany retreat. Sunbeam Hollow Sanctuary is operated by True Colors Healing Collective, referred to below as “we” or “us.” Please read these terms before booking.

Payments and reservations

Your reservation is confirmed when we receive your $1000 deposit and your agreement to these terms. The deposit is part of your total retreat price. Your booking confirmation lists your retreat dates, room type, total price, and payment schedule.

Payments must be made by the agreed deadlines. If a payment is overdue, we will notify you in writing and allow seven calendar days to bring it current before cancelling your reservation under the guest cancellation policy below.

Guest cancellations

The $1000 deposit is nonrefundable. If you cancel 120 or more calendar days before the retreat begins, we will refund 50% of the amount you have paid above the deposit, and no further installments are due. If you cancel fewer than 120 calendar days before the retreat begins, no refund or credit is offered, and you remain responsible for the full retreat price, including any unpaid installments, unless an eligible replacement guest approved by us takes over your reservation.

These terms apply to guest cancellations for any reason, including illness, family emergencies, or travel delays. No refunds are offered for missed activities, late arrival, or early departure. A reservation may be transferred to another eligible guest only with our written approval; the original booking terms and remaining balance still apply.

Travel insurance

Travel insurance, including Cancel For Any Reason (CFAR) coverage, is strongly recommended. Please review your policy’s terms, purchase and cancellation deadlines, exclusions, and reimbursement limits; coverage and full reimbursement are not guaranteed.

Changes or cancellation by us

We may change the itinerary or substitute reasonably comparable lodging, suppliers, or activities when necessary. We will communicate significant changes as soon as reasonably possible. Comparable substitutions do not qualify for a refund.

If we cancel the retreat for reasons within our control, we will refund all retreat payments, including the deposit, within 30 days. If we change the dates for reasons within our control, you may accept the new dates or receive that full refund. Changes caused by events beyond our control follow the next section. Airfare and other expenses you book separately are your responsibility.

Events beyond our control

Severe weather, natural disasters, strikes, government restrictions, war, public health emergencies, or other events beyond our reasonable control may prevent or interrupt the retreat. If this happens, we will make reasonable efforts to recover supplier payments and refund your payments for services not provided, less your share of documented, unrecoverable costs committed for the retreat. We will provide an accounting and pass along later recoveries. A full refund cannot be guaranteed; a credit or rescheduled trip will be offered only as an option.

Travel and accommodations

You are responsible for valid travel documents, entry requirements, airfare, and arriving on time. Guests arrive on October 11, 2027, and the retreat includes airport pickups that day. All guests depart together on October 17, 2027, on the group transfer to Florence airport. Guests who need different arrival or departure plans are responsible for their own transportation and any added costs. Extra nights, missed transfers, and other personal travel costs are your responsibility. Only the items listed as included in your booking materials are covered by the retreat price.

Shared rooms are available only to two guests booking together. Solo travelers must book a private room. If one roommate cancels, the other may bring a new roommate, move to a private room if one is available and pay the difference, or cancel under the guest cancellation policy above. Room changes and replacement guests require our written approval and are subject to availability. Any price adjustment must be agreed in writing.

Health and participation

The retreat may involve extended walking, stairs, uneven streets, vehicle travel, cooking, wine tastings, swimming, and sauna use. You understand these activities carry risks, including falls, illness, burns, and water-related injuries, and choose voluntarily whether to participate.

Please assess whether the retreat suits your health and mobility needs and tell us about accommodation needs before booking. You are responsible for your medications and medical costs. In an emergency, we may contact emergency services and your designated emergency contact. We cannot guarantee access to particular medical services.

Food and allergies

Please share allergies and dietary needs before booking. We will communicate them to suppliers and make reasonable efforts to accommodate them, but cannot guarantee allergen-free meals or kitchens. You are responsible for confirming ingredients and carrying any necessary medication.

Independent suppliers and responsibility

Lodging, transportation, guides, food, and activities may be provided by independent suppliers. To the extent permitted by law, you agree not to hold us liable for injury, loss, damage, or delay caused solely by those suppliers or events beyond our control. This does not release us from liability for our own negligence or intentional misconduct, or limit rights that cannot legally be waived.

Group conduct

Guests must treat others respectfully and follow local laws and safety instructions. We may remove a guest whose harassment, intoxication, or other conduct threatens safety or seriously disrupts the group. In those circumstances, no refund is offered, and additional accommodation or travel costs are the guest’s responsibility.

Retreat purpose and privacy

This is a restorative travel retreat, not psychotherapy or mental health treatment. Participation does not create a therapist-client relationship with Katie Berry. Personal sharing is optional. We ask guests to respect one another’s privacy, but cannot guarantee confidentiality within the group. Promotional use of identifiable guest photos requires separate permission.

Agreement

By submitting your payment at registration, you confirm that you have read and agree to these terms. These terms and the booking materials supplied at registration form your agreement with us. Changes to that agreement require written agreement, except for itinerary substitutions allowed above.

Illinois law governs this agreement, subject to any mandatory laws that apply. If a provision is unenforceable, the remaining provisions still apply.
